Make the Most of Office 365. Master all the Must-Know Tips & Tricks

COVID-19 has caused most of the industries in Malaysia to work from home nowadays. Adapting to this new norm was quite a handful at first, but thanks to Microsoft 365, it’s not an issue anymore.

Working as a team from afar carries the same concept as “Long Distance Relationship.” You need to maintain good communication in order to keep things working.

Office 365 is a great tool for everyone to ensure work runs smoothly. For those who just heard this for the first time, Office 365 is a productivity cloud that provides apps like Word, Excel, and PowerPoint in one connected experience.

Now, we’re going to share with you easy and practical tips and tricks on how to use Office 365 plans efficiently.

#1 Synced apps

We get it. Sometimes it is hard to keep everything in line. Do you find it annoying that you have to scroll through all the apps just to find that one message? Same!

With Office 365, you can now share and sync all your mail, calendar, and contact items across different laptops, desktops, tablets, or phones. This is because Office 365 allows you to install and have your apps synced to five different devices.

Synchronising an Office 365 calendar with Outlook should just take a few seconds. This enables you to see both SharePoint and Outlook calendars in one place.

Having several access points on shared files at the same time, on the other hand, may result in inefficiencies due to the likelihood of encountering different document types. Ensure that everything is in order so that this does not occur.

#2 Search with Smart Lookup

It’s 2022! Nothing is actually impossible now. Whenever we want something, we can just say it out loud! “Alexa, play Work B**** by Britney Spears!”

It works the same here with Office 365, except there’s no voice recognition. However, with Smart Lookup, it can provide you with an extra dimension to your document if you need a template or some information about anything.

If you’re using Word, Smart Search can be found in the research group of the Reference Ribbon. You can use the Smart Lookup function in Office 365 on a Mac in the same way that Windows users can.

You don’t have to open another tab to look up the meaning of the story with Office 365. You can find the definition of a term by selecting it, right-clicking on it, and using the intelligent search option without leaving the document. This is just one of the numerous features of Office 365 aimed at increasing productivity.

#3 Double the security

Specialised features in the new Microsoft 365 have been intended to fulfil expanding security requirements. Security measures such as multi-factor authentication (MRI) will be included in these features. This function adds additional protection levels to your data, such as passwords, biometrics, or a retina scan and password.

You can monitor and improve the security of your identities, data, applications, devices, and Microsoft 365 infrastructure from a centralised dashboard. Setting proper security settings and executing security-related chores such as examining reports get you points.

#4 Unlimited collaboration

Collaboration has always been the cornerstone of organisational success. By “collaboration”, we mean sharing ideas, expertise, passion, and talents produces better results than doing it alone.

Employees who believe they are connected to their coworkers and the workplace appear to have higher levels of engagement and retention, resulting in higher productivity and earnings.

Office 365 to the rescue! It offers you so many collaboration tools, including the OneDrive feature. You can save your document to the cloud using OneDrive, and your colleagues will have access to the most recent version. It will make it easier for everyone to complete tasks at one time.

#5 Know all the keyboard shortcuts

Speed is one thing, accuracy is another. So, when writing, it is best to ensure that you excel in both.

Good news… again! You can use many shortcuts in Office 365 to make your job easier. When working in Excel, for example, you can use keyboard shortcuts to make spreadsheet navigation easier.

You can use shortcuts to move from one Office 365 application to another, and it will function. In the suite, you’ll find hundreds of shortcuts.

Just like that, you save your time and make no mistakes.
