Co-location Equipment Check-In Policy

(A) All devices must have their estimated power consumption declared before check-in.

(B) Power splitters and extension cords are strictly prohibited within the data centre.

1. SERVER CHECK-INS ARE EXPECTED TO FOLLOW THE FOLLOWING TERMS:

    • The server is expected to be received with railings, ready to be installed into the rack. Should the server not have the railings in place, and Shinjiru is not equipped with any spare trays within the data centre, the client will bear the charges of purchasing a tray. The tray invoice will be prepared and expected to be settled on the spot. A tray consumes a chargeable 1U co-location space.
    • The server to be installed is required to provide with official datasheet which will be used as the standard for the estimation of the power usage of the server. Server that exceeds the subscribed power allocation when calculated with standard voltage of 230V at the range of 70% to 100% usage shall be subjected to additional power subscription before check-in can be arranged. Any extra power usage after check-in is chargeable at RM 200 per 0.1kW.
    • Power cables are to be supplied by the client. Power cables can also be purchased from Shinjiru upon check-in. Refer to Table 1.6. The power cables supplied by the client shall conform to the regulations of the data centre which splitters and power extension is strictly prohibited. Any prohibited device found during audit shall be removed within the first 14 days of notification sent.
    • Shinjiru will provide a single CAT6 LAN cable with a RJ45 head to each client. All clients are required to provide their own networking cables. Request for cables will be chargeable. Please refer to Table 1.4.
  • 1.1. Server check-in requests must be sent to the respective Shinjiru department, 24 hours in advance. Malaysia identification card or Passport is required for registration and must be shared with Shinjiru by the Client for verification purposes.
  • 1.2. Shinjiru reserves the right to decline server check-in requests should the Client not provide adequate time (24 hours in advance) to arrange and organise the check-in.
  • 1.3. Server check-in will not bear additional charges as long as the server is checked in within normal business hours (Monday – Friday, 9:00am – 6:00pm GMT+8). Public holidays are regarded as out of business hours should they fall on a weekday.
  • 1.4. 2 hours will be allocated to the Client for server check-in within business hours. Shinjiru reserves the right to impose additional charges to the Client should the server check-in process exceed an additional hour over the allotted time. The allotted 2-hour time frame will commence once the server is within the data centre. Exceptions to this rule are applied for Clients that have full rack co-location services with Shinjiru, such Clients have full access for an unlimited time-span during business hours.
  • 1.5. Ad-hoc services will be chargeable based on the time taken to complete a task. The charge varies depending on the nature of the task. Please refer to Smart Hand Support page for further details.
  • 1.6. Server check-in form must be signed and completed by both the Client and a Shinjiru representative for confirmation and verification.

2. SERVER CHECK-OUTS ARE EXPECTED TO FOLLOW THE FOLLOWING TERMS:

Any Devices/ Network Cables/ Power Cables/ Device Railings left within Shinjiru data centre after check-out are chargeable.

  • 2.1. Server check-out procedure will only commence once the outstanding payment verification is completed by Shinjiru’s Billing department. All check-out requests must be submitted to [email protected].
  • 2.2. Server check-out requests must be notified to the Shinjiru Billing department, 2 business days in advance. Malaysia identification card or Passport is required for verification and is to be provided to Shinjiru by the Client.
  • 2.3. Shinjiru reserves the right to decline any server check-out should the Client not provide adequate time (2 business days) for Shinjiru to organise the check-out procedure.
  • 2.4. Server check-out will not bear additional charges if the server is checked out within normal business hours (Monday – Friday, 9:00am – 6:00pm GMT+8). Public holidays are regarded as out of business hours should they fall on a weekday.
  • 2.5. Check-out requests during non-business hours will be imposed with additional charges. The payment must be cleared to Shinjiru prior check-out commencement. Please refer to Table 2.2.
  • 2.6. 2 hours will be allocated to the Client for server check-out. Shinjiru reserves the right to impose additional charges to the Client should the server check-out exceed 2 hours. The allotted 2-hour time frame will commence once the Client is within the data centre. Exceptions to this rule are applied for Clients that have full rack co-location services with Shinjiru, such Clients have full access for an unlimited time-span during business hours.   • 2.7. Server check-out form must be signed and completed by both the Client and a Shinjiru representative for confirmation and verification.
  • 2.8. Clients are granted 14 days to remove any server/device from Shinjiru’s co-location facilities after cancellation or service expiration. Shinjiru will impose a charge of RM100 per month for storage fees, should the server/device not be removed within the 14 days allotted time frame. All servers/devices not collected after 180 days, Shinjiru deems them as disposable goods and reserves the rights to discard them.

3. DATA CENTRE VISITORS POLICY

  • 3.1. Clients may visit the data centre upon obtaining approval from Shinjiru to inspect their server(s).
  • 3.2. Clients will be escorted by a Shinjiru team member whilst within the data centre.
  • 3.3. All Clients are required to register their details upon their visit with a Malaysian Identification Card or Passport.
  • 3.4. Shinjiru reserves the right to reject any visit requests in the event of outstanding payments on the client’s account.
  • 3.5. Clients are required to submit requests for data center tours at least five (5) working days in advance. Shinjiru reserves the right to decline any requests that do not comply with this notice period.

4. POWER CONSUMPTION POLICY

  • 4.1. Clients are required to abide by their allocated power consumption as per their contract/service purchased. Each service package has a unique power consumption provision. The Client may check with [email protected] for details of the power consumption attached to the Clients service.

  • 4.3. Shinjiru reserves the right to test power consumption of co-location servers if required.

5. CO-LOCATION MANAGEMENT POLICY

  • 5.1. Co-location services are required to have a 30-day buffer period for cancellation. Client must notify Shinjiru for co-location service cancellation request 30 days in advance. Shinjiru reserves the right to invoice the Client for an additional 30 days of service for any cancellations that does not meet the 30-day buffer period requirement.
  • 5.2. Clients are required to move their server to a new location within the data centre upon request by Shinjiru. Shinjiru has the best interest in providing the best facilities and solutions for its Client’s, thus, once an approval for the in-house relocation from the Client is granted, Shinjiru will provision the server updates (IP Address, DNS records and zones) within a reasonable time-frame and make all the necessary adjustments to minimize the effect of the shift on the server user.
  • 5.3. For private rack colocation, the billing cycle begins upon payment, and the rack will be made ready within fourteen (14) days. This fourteen-day period also serves as a buffer for equipment removal after the subscription ends. Clients who prefer the billing cycle to start only after the rack is ready may opt to pay a prorated fourteen (14) day deposit to retain the same buffer period. This policy does not apply to shared rack services.
  • 5.4. CUSTOMERS have up to 14 days to remove any server/device from our premises after cancellation or service expiration. SHINJIRU will start charging RM100.00 per month for storage fees if the server/device are not removed after 14 days.
  • 5.5. Clients are allowed one port in the Shinjiru access switch per service. Shinjiru will impose additional charges for each port used in the access switch. Clients may be required to provide their own switch if necessary. Refer to table 5.1.

  • 5.6. Shinjiru has set high standards in providing an all rounded, secure and professional experience at the Shinjiru co-location facilities. Shinjiru is nevertheless, not liable for any incidents that may disrupt the servers on location. Shinjiru falls under no obligation to warrant nor provision the servers. Shinjiru will under no circumstance be liable for any damages pertaining to any unforeseen causes and/or damages to the servers hosted in its facility centre.
  • 5.7. Shinjiru reserves the right to adjust its service charges in the event of any increase in government-imposed rates, taxes, levies, surcharges, or utilities tariffs as well as fluctuations in global rates or costs beyond Shinjiru’s control.

6. SMART HAND SUPPORT POLICY

  • 6.1.Scope of Service
    • 6.1.1. Shinjiru agrees to provide remote technical assistance, known as Smart Hands support, for tasks related to the management and maintenance of equipment within the client's colocation subscription under Shinjiru.
    • 6.1.2. The client agrees to pay for the services provided under this agreement
    • 6.1.3. The extent of basic troubleshooting provided will only focus on making the client's devices able to be accessed remotely for further investigation by client’s side.
    • 6.1.4. Hardware replacement can only be done with the client's spare parts on site.
  • 6.2 Service Level Agreements (SLA)
    • 6.2.1. Shinjiru commits to respond to Smart Hands requests within ONE hour upon request is made during office hours and within TWO hours upon request is made outside of office hours
  • 6.3 Authorized Tasks
    • 6.3.1. Smart Hands technicians are authorized to perform tasks such as server reboots, device ejects and inserts, toggle switch, push button, replace components with client’s spare part, cable management, run commands and perform actions for basic troubleshooting as per client’s advice, hardware relocation as per client’s advice, and other tasks as specified in the agreement.
    • 6.3.2. The client agrees to provide clear instructions and necessary credentials for performing the authorized tasks.
  • 6.4 Client Responsibilities
    • 6.4.1. The client is responsible for providing access to the equipment.
    • 6.4.2. The client shall promptly respond to any requests for information or clarification related to Smart Hand Support
    • 6.4.3. Any requests to utilize the Smart Hand Support credited balance will have to be submitted through our 247livesupport ticketing system or emailed to [email protected] or via our Telegram (Telegram ID: ShinjiruHosting) available 24 hours a day, 7 days a week or via our Phone Support only available during office hours, 9.00am to 6.00pm, Monday to Friday at +60379871191.
    • 6.4.4. The client needs to inform Shinjiru 24 hours in advance for any outside of office hours check-in or check-out.
  • 6.5 Billing and Payment
    • 6.5.1. The client agrees to pay for Smart Hand Support services based on the hourly rates as specified in the pricing schedule.
    • 6.5.2. Smart Hand Support services can only be requested if there is enough credit balance in terms of hours present in the clients' subscription.
    • 6.5.3. Smart Hand Support credit balance cannot be refunded but can only be transferred to another subscription.
    • 6.5.4. There will be no expiration date for Smart Hand Support credit balance.
    • 6.5.5. The minimum utilization of Smart Hand Support credit balance is 1 hour per request. Should the Smart Hand Support provided exceed 15 minutes of the next hour, it will be directly counted as another 1 hour chargeable
  • 6.6 Liability and Indemnification
    • 6.6.1. Shinjiru’s liability is limited to the fees paid by the client for the specific Smart Hands Support services.
    • 6.6.2. The client agrees to indemnify and hold Shinjiru harmless from any claims, damages, or losses arising from the client's use of Smart Hand Support.
  • 6.7 Confidentiality
    • 6.7.1. Both parties agree to maintain the confidentiality of any sensitive information accessed or disclosed during Smart Hand Support activities.
    • 6.7.2. Confidential information shall not be disclosed to third parties without the written consent of the disclosing party.
  • 6.8 Governing Law
    • 6.8.1. This agreement shall be governed by and construed in accordance with the laws of Malaysia.
  • 6.9 Miscellaneous
    • 6.9.1. Force Majeure: Neither party shall be liable for any delay or failure to fulfil its obligations due to circumstances beyond its reasonable control.

7. POLICY MODIFICATION

  • 7.1. Shinjiru may modify the policies and procedures of this document by updating the revised version on shinjiru.com.my, and/or, by notifying the concerned users via email. By continuing to use this service, all updates on the existing policies and/or newly introduced terms are viewed as approved by the service users and bound in agreement.
